Creating a New Role

Roles determine the permissions a user has in the platform. You can use various role settings to control emails that are sent and functionality available. There are three default roles in every tenant – Admin, Coach (Manager), and Learner (Rep). You can always adjust the settings on these roles as well as create new roles. This guide walks through creating a net new role.

Steps to create a role:

  1. Navigate to the Admin menu from the left side navigation bar and select Roles
  2. Enter a Role Name. You can choose whether or not you’d like this role to be the default for all new users.
  3. Switch the toggles on for all permissions you would like this role to have.  Green means the permission is on, gray means the permission is offFor a list of definitions for each toggle, please see the end of this article.
  4. Click Save when you are done

TOGGLE DEFINITIONS

Admin

Administrator – provides access to entire Admin menu and Admin reporting

Browse – gives access to the Browse page

Content – gives access to the Content space

Publisher – gives visibility to all submissions and ability to share any submission from the coach page

Editor – ability to edit any model scenario (script or video)

Spotlight – internal CommercialTribe use. Recommended to leave off.

Coach

Email: Activity Ending Soon – if a user is set as a Reviewer/Rater on an activity (either directly or by hierarchy), they will receive an alert when the activity is 75% of the way to the due date and there are still learners who need to submit

Email: Daily Activity Summary - if a user is set as a Reviewer/Rater on activity (either directly or by hierarchy), they will receive an email summary of all who submitted in the last 24 hours

Content: Announcements – gives permission to create and send announcements

Create: SpotCheck – access to the Create button with the option to create SpotChecks

Create: Scenario – access to the Create button with the option to create Scenarios

Learner

Email: New SpotCheck Alert – will receive email notifications when assigned to a SpotCheck

Email: Activity Ending Alert – if the user is assigned to an activity and has not submitted when 75% of the time has passed, they will receive an email reminder

Email: Scorecard Completed Alert – the learner will be notified when a coach fills a scorecard on the learner’s submission
